One completed instruction counts as one request, whether you type it or speak it. Voice transcription and follow-up clarifications belong to that same request. Technical failures and unfinished clarifications don’t use your allowance.
Yes. Start and stop timers, add past work, edit entries, and view personal reports using the manual controls. These tools stay available when your AI allowance runs out.
The Free plan supports one user and includes 100 monthly AI requests. Team costs $5 USD per user per month for all users, including the owner, and adds 250 requests per paid seat to the workspace’s 100 monthly requests. For example, three people cost $15 USD per month and share 850 included monthly requests. The person who creates the workspace is its administrator. They purchase seats on Billing, then send invitations from Team. Invitees open their private link and sign in with Google to join.
Added seats are charged on a prorated basis and activate after payment. Seat reductions take effect at the next renewal. After removing a member, your administrator can reduce unused paid seats on the Billing page. The free tier supports one workspace member. To switch to Free, remove all additional members and set paid seats to zero; cancellation takes effect at the end of the current billing period. The remaining member keeps manual tracking and the free AI allowance. Cancellation does not let a workspace keep additional members on free manual tracking. Removed members lose workspace access, but their historical time records are retained.
Paid seats renew monthly on your subscription billing date, shown on Billing. AI requests reset separately on the first of each month at midnight UTC; a subscription renewal does not reset usage. Request packs are one-time purchases.
New paid seats activate after payment. If a renewal payment fails, new paid-seat admissions and new paid AI allowance grants pause. Existing members keep access to manual time tracking, editing, and reporting while your administrator resolves billing or removes additional members to return to the one-member free tier. This does not grant additional members a permanent free seat. Your administrator can update payment details through Manage billing.
The Billing page shows remaining included and purchased requests, the next monthly reset, and requests in progress. Manual tracking stays available when the allowance is used up.
Reports show your own time and let you export filtered daily entries to CSV. Manager views of team time, approvals, Excel workbook export, billable flags, rates, and invoice generation are not currently included.

Circlebox Time is a mobile-friendly web app. Open it in your browser and sign in with Google. Voice input requires microphone permission and a browser that supports microphone recording over HTTPS. If recording is unavailable or permission is denied, type your command or use the manual controls. Speech recognition can make mistakes; check the resulting time entries.
When you send a voice command, your recording goes through Circlebox Time’s server to OpenAI for transcription. Typed commands and transcripts go to OpenAI to interpret your instruction. Spoken assistant replies also use OpenAI.
Circlebox Time processes recordings in memory and does not routinely save recordings or command transcripts. The conversation stays in your active browser session. Time entries created from a command are saved as part of your workspace data.
If you choose to share an interaction for troubleshooting, the selected text and optional recording are retained for up to 30 days after the interaction and can be reviewed by authorized reviewers. Operational and usage records exclude command content; accounting records have no automatic expiry. Database backups have a separate retention period.
OpenAI’s API data is not used for model training by default. Provider retention rules apply separately; command processing can be subject to abuse-monitoring retention even when response storage is disabled. See OpenAI’s data controls.
